Administrator – Sydney Office

JPJ Audio is seeking an experienced Administrator to join our Homebush-based operations team.

The role:

As the Administrator you will act as a first point of call for all incoming phone enquiries, as well as assisting with other general administrative duties, as directed. This role provides key administrative support for HR, Payroll and WHS.

As the successful candidate, you will be responsible for collating weekly rosters to be administered by payroll, assisting the business in ensuring WHS compliance, and providing administrative support to the Production Assistant and Account Managers to help us meet our clientele’s needs.

Key responsibilities include:

General Admin

  • Manage a high volume of day-to-day communications with internal staff, external contractors, suppliers and event clientele, including; answering phones, emails and undertaking other administrative duties, as requested.
  • Oversee the purchasing of office supplies; managing stock levels, and placing orders, as required.
  • Coordinate equipment bookings, quotes, purchase orders and invoices, as requested.
  • Assist with Travel & Accommodation bookings, as required.
  • Assist in the coordination of JPJ internal functions, meetings and events, this includes; sourcing venues, booking meeting rooms, and organising suitable refreshments.

HR & Payroll

  • Collate and finalise the weekly rosters across multiple systems, ready for handover to payroll for processing.
  • Assist with the administration of WHS documentation, including; SWMS preparation, facilitation of Return-to-Work programs, and administering Workers Compensation Claims.
  • Provide general administrative support for HR including filing paperwork, assisting in contract preparation, as requested.
  • Provide leave coverage for payroll and administration, as required.

Skills and experience

To be considered for this position applicants must meet the essential criteria listed below:

  • Minimum 2 years’ experience in a similar administrative role, experience with WHS and Payroll would be highly advantageous.
  • Proficient in the use of Microsoft Office Suite, and other software/systems.
  • Experience with payroll and accounting systems is desirable.
  • Excellent organisational skills and the ability to meet multiple deadlines.
  • Call and query handling and call resolution skills with a “can do” attitude.
  • Great communication skills and ability to build strong working relationships.
  • Demonstrated organisational and time management skills and the ability to multi-task and work under pressure.
  • Ability to work efficiently within a team environment and with minimum supervision.
  • Demonstrated positive work ethic and the willingness to learn new systems.
